1. Participant Data Handling

At Fresh Idea Hub, we recognize that psychological safety is paramount to adult learning. This applies equally to how we handle your personal and professional data. We collect only the information necessary to design, deliver, and evaluate our corporate learning programs.

This includes contact details, organizational roles, and assessment data gathered during 360-degree feedback or simulated learning environments.

2. Information Usage

Data collected is strictly used to measure the efficacy of our interventions (Kirkpatrick Levels 1-4) and to provide personalized learning reinforcement post-workshop. We do not sell participant data to third-party vendors or marketing agencies.

3. Data Security and Confidentiality

We employ enterprise-grade security protocols to safeguard all client information. Executive forum discussions, individual capability assessments, and strategic alignment data shared during our engagements are held under strict confidentiality agreements.

4. Your Rights

Under applicable data protection laws (including GDPR), participants and client organizations have the right to access, rectify, or request the deletion of their personal data from our learning management systems and facilitator records.

5. Third-Party Service Providers

To operate our Learning Management System, host virtual training sessions, and process facilitator scheduling, we work with a small number of vetted technology vendors. Each provider is bound by a data processing agreement that limits their use of your information strictly to the service they deliver on our behalf — none are authorized to use participant data for their own marketing purposes.

6. Data Retention

Assessment data, 360-degree feedback records, and simulation results are retained for the duration of an active engagement plus 24 months, to support longitudinal Kirkpatrick Level 3/4 measurement (behavioral change and organizational results tracked after the workshop concludes). Contact and billing records tied to a Master Services Agreement are retained per standard commercial recordkeeping practice. You may request early deletion at any time by contacting our Data Protection Officer, subject to any active confidentiality or MSA obligations.

7. International Data Handling

Fresh Idea Hub is headquartered in Asaka, Saitama, Japan. Where a client organization's learners are based outside Japan, session and assessment data may be processed on servers located in Japan or by regional delivery partners under the same data processing agreements described in Section 5. We take reasonable technical and organizational measures to protect information regardless of where it is processed.

8. Children's Privacy

Our programs are designed exclusively for adult professionals within client organizations. We do not knowingly collect personal information from anyone under the age of 18. If we become aware that we have inadvertently received such information, we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy periodically to reflect changes in our data practices, applicable law, or the tools we use to deliver our programs. Material changes will be reflected by an updated Effective Date at the top of this page; we encourage client organizations to review this policy ahead of each new engagement cycle.

10. Legal Basis for Processing

Where applicable data protection law requires it, we process contact and organizational data on the basis of legitimate interest in responding to an inquiry, and on contractual necessity once a Master Services Agreement or Statement of Work is executed. Marketing communications, such as our Insights newsletter, are sent only with your consent, which you may withdraw at any time.

11. Automated Decision-Making

We do not use participant assessment data to make any fully automated decision that produces a legal or similarly significant effect on an individual. Kirkpatrick Level 3/4 evaluation always involves human review by a Learning Architect before any recommendation is delivered to a client organization.
